Class Expenses/Course Material Fees

There are two types of classes, those that do collect course materials fees and those that don’t. If you are teaching a class you will receive an email from fiscal staff before the quarter that explains whether or not your class receives course material fees.

Without prior approval for an expenditure there is no guarantee that you will be reimbursed for any expenses incurred.

Classes that Collect Course Material Fees

Prior to the start of each quarter, fiscal staff will email each instructor teaching a course collecting course material fees. This message will provide an estimated budget based on course enrollments, how funds will be allocated and what purchasing is permitted. Final budgets are based on week 3 enrollments and staff will follow up during week 4 to confirm this budget. Courses that collect course materials fees are:

Classes that Do Not Collect Course Material Fees

Courses that do not collect course material fees will not have regular or guaranteed funds available. As the department budget allows, there may be funds available to support the purchase of materials critical to the needs of the course. When funds are available, fiscal staff will email each instructor prior to the start of the quarter with instructions.

Spending Course Fees

For faculty to utilize course materials fees:

  1. Submit a Financial Services Request Kuali Form (Kuali).
  2. Wait for approval
  3. After approval purchase the approved expense
    1. Note: Prior approval is needed to guarantee reimbursement for all expenditures.
  4. Submit receipts via the Financial Services Request Kuali Form.
  5. Add fiscal staff as delegates in Concur
  6. Fiscal staff will then process the reimbursement on behalf of the faculty member.

FAQs

What happens to the course fees collected if it is not spent by faculty?

  • That funding is utilized by the department to purchase materials or pay for necessary course expenses. These purchases are made by staff based on the decisions of area faculty.
